Public Works Office Assistant – Part-Time

The Village of Cary, IL (18,271), a northwest suburb of Chicago, is seeking to fill an opening for
a part-time Office Assistant in the Public Works Department. Cary residents pride themselves on
maintaining a small-town feel, while enjoying services and amenities more commonly found in
larger communities. This high level of service is made possible by a highly efficient professional
government organization and through the contributions of versatile individuals in positions such
as the Office Assistant.
The Office Assistant provides a variety of administrative support to the Village, helping the
department function as efficiently as possible, and provides responsive, courteous, and efficient
services to the Village's residents and the general public.
This part-time position requires approximately 20 hours of work per week (maximum 1,000
hours per year). The position offers a flexible work schedule of 4-5 days per week. The starting
pay range for this position is between $16.00 and $20.00 per hour depending on the
qualifications of the successful candidate. The position is not Illinois Municipal Retirement Fund
(“IMRF”) eligible.
Essential Functions:
 Handle all front desk responsibilities i.e. greeting customers/contractors/vendors,
handling incoming deliveries.
 Answering incoming phone calls for the Village; assess callers’ needs and route calls to
appropriate personnel.
 Answer customer inquiries.

 Assist in preparing and distributing various Village communications (newsletters, E-
blasts, press releases, social media posts, etc.)

 Serve as backup for all clerical functions, including invoicing and records management
 Accept citizen inquires and complaints and forward to departmental staff as appropriate.
 Work on behalf of the Village as a positive community relations liaison with the public.
 Recommend and collaborate with staff on the development and evaluation of new

Required Knowledge, Skills and Abilities
Education and/or Experience
 A high school diploma or GED equivalent required.
 An Associate Degree (or greater), or an equivalent combination of education and
experience is preferred.
 Practical experience in customer service, an administrative support role, or an office
setting a plus.
 A valid Illinois driver’s license is required.
Skills and Abilities:
 Ability to maintain a professional demeanor when dealing with the public.
 Ability to work independently and multi-task with minimal supervision.
 Ability to comprehend, retain and apply established policies and procedures.
 Ability to utilize basic administrative software packages, including Microsoft Office.
Physical Demands:
 Work is performed mostly in an office setting; hand-eye coordination is necessary to
operate computers and various pieces of office equipment.
 Specific vision abilities required by this job include close vision, prolonged visual
concentration and the ability to adjust focus.
 While performing the duties of this job, the employee frequently is required to sit, stand,
walk, talk and hear; use hands and fingers to handle, feel, or operate objects, tools, or
controls and reach with hands and arms.
 The employee is occasionally required to bend, crouch, climb or balance.
 The employee must occasionally lift and/or move up to 25 pounds.
